    Nomenclature Sessions

     

     

    The sessions of the Nomenclature Section will be held in the lecture hall 502 on the fifth floor at the Peking University HSBC Business School in Shenzhen University Town, from July 17 – 21, 2017, the week preceding the main sessions of the IBC. To participate in the Nomenclature Sessions you have to pay for at least on day's attendance at IBC2017.

    All congress abstracts, including those for all oral and poster presentations and abstracts without additional presentations, will be available to all registered delegates (paid) in the delegate satchel.

     

     

    The default version will be electronic, via smartphone app or on a CD, to reduce the amount of paper used. However, if you would like to have a hardcopy version you will need to make an order during online registration. We will produce a limited number of hard-copy abstract books based on the number of orders received by June 15, 2017.

     

     

    You will not be able to request a hard-copy onsite or post Congress.

    Registration fee receipt will be available at the onsite registration area during the congress time.

    Payment deadlines

     

     

    Registrations received by March 15, 2017 must be paid in full by March 15, 2017 to secure the early bird registration rate.

     

     

    Registrations received from March 16, 2017 until June 15, 2017 must be paid in full by June 15, 2017 to secure the standard registration rate.

     

     

    Failure to adhere to the deadlines will result in your registration being automatically cancelled; re-registration will be required at the current rate on the date of re-registration.

     

     

    Registration Confirmation

     

     

    Your registration will be confirmed by an email message sent to the address you specified under your personal information during purchase. Please ensure that your email address is correct when registering, as our system is not able to alert you if you enter an incorrect or incomplete email address. You may change the name and affiliation on your badge at any point before Wednesday, June 14, 2017, on the Personal Information page of your IBC 2017 user account.

     

     

    Admissions policy

     

     

    Only pre-registered congress delegates, exhibition badge holders and delegates who register on the day of their attendance will be able to attend congress sessions and the exhibition/poster area. Accompanying persons are allowed to access the exhibition and poster areas.

     

     

    All participants are asked to wear their badges at all times throughout the congress. Badge holders must not allow their badges to be worn by anyone else. Failure to follow these requirements is likely to lead to the badge holder and the person wearing the badge being removed from the Congress. Anyone obtaining a congress delegate or exhibitor badge by theft, deception or other illegal means will be asked to leave the congress.

     

     

    Anyone attending the conference must not take part in any demonstrations, objectionable behavior or wear offensive apparel or be involved in any activity which may disrupt the conference. The organizers reserve the right to exclude or remove anyone from the congress and venue who does not comply with this policy or who they reasonably consider is likely to break these rules or who is prohibited from attending under any applicable sanctions, laws or regulations.

     

     

    Press badges for the Congress are restricted to publishers, editors, journalists, photographers, broadcasters and web bloggers associated with the conference subject area. Members of the press may be required to complete an application form and produce accreditation in the form of a photocopy of a recognized press or media card, business card, a letter from the editor or an official web address linking to a press release in order to verify their position. Press applications from advertising personnel and media sales representatives will not be accepted.

     

     

    Official congress photographers may be taking photographs and filming videos at the congress. Anyone attending the congress consents to such photography and filming without compensation and confirms that the organizers shall be entitled to use such photographs and videos, which may include photographs and videos of visitors, for use in any and all media, without liability. No other photography or filming will be permitted at the Congress without the prior written approval of the organizers.

     

     

    Dietary Requirements

     

     

    Please make known your dietary requirements during the registration process so that arrangements can be made in advance. Vegetarian options will be provided for those with kosher requirements.

     

     

    Insurance

     

     

    Registration fees do not include insurance of participants against personal accidents, sickness, cancellations by any party, theft, loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodations, cancellations, medical and personal items.

     

     

    Wheelchair Access & Special Assistance

     

     

    If you require wheelchair access and/or special assistance during the congress, please indicate your requirements during the registration process.

     

     

    Onsite Registration & Check-in Hours

     

     

    All badges will be printed onsite at the Shenzhen Convention and Exhibition Center at a registration kiosk. Different kiosks will be set up for those who have pre-purchased registration to check-in and print badge and for those who purchase a new registration onsite. All pre-purchased badges will be assigned a unique registration code, which will be included in the confirmation email sent to each attendee after purchase has been made. Please save this information and bring it with you to the congress, as you will need it to print your badge and pick up your registration materials onsite.

     

     

    All those who register under the student category will be required to show a valid student or government-issued ID in order to print their badge details.

     

     

    Registration and check-in opens for the full day of Sunday (July 23, 2017), and in the morning from 24 until 28 of July.

     

     

    Welcome Reception

     

     

    Kick off the congress with complimentary food and libations, mingle with congress attendees and enjoy the beautiful Shenzhen CBD views.

    How: Full Congress attendees, exhibitors and sponsors will receive an e-Vite pre congress to confirm their attendance. All tickets must be picked up in person at the Congress registration in the Shenzhen Convention and Exhibition Center, located immediately inside the main entrance.

    Gala Dinner

     

     

    An optional Gala Dinner will be held at the Sheraton Shenzhen Futian Hotel, the second venue of the congress on Wednesday, July 26, 2017.     Cancellation of registration

     

     

    Deadline: June 15, 2017

     

     

    Cancellations must be made in writing to the Congress Secretariat. Cancellations received prior to June 15, 2017 will receive a full refund minus a 10% administration fee. Cancellations received after June 15, 2017 will not result in a refund. Unless due to circumstances considered exceptional by the Congress Organizing Committee (late refunds, if granted, will still incur the 10% administration fee),refunds will not be granted due to failure of visa application. Substitute delegates will be accepted.

     

     

    Name Changes

     

     

    If you are unable to attend the Congress, and a colleague is able to attend in your place, please notify the Congress Secretariat at office@ibc2017.cn indicating your full name and institution and the details of your colleague including full name and address and email contact details.

     

     

    Liability Disclaimer

     

     

    All best endeavors will be made to present the program as printed in this document. The congress and its agents reserve the right to alter, without prior notice, any of the arrangements, timetables, plans or other items relating to the congress, for any cause beyond its reasonable control. The Organizing Committee and the Meeting Organizers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Organizing Committee and the Meeting Organizers do not accept responsibility for loss of monies caused by delays.

     

     

    Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The congress does not cover individuals against cancellations of bookings or theft or damage to belongings.

     

     

    Special Registrations

     

     

    Public Lecture Registration

     

     

    Public lecture registration is open and free only for Shenzhen citizens. There are four public lectures in the evenings on Monday, Tuesday, Thursday and Friday. Each lecture needs a separate registration. If you wish to attend more than one public lecture, you need register for each one separately. As the lectures are open to a limited number of attendees, registration follows the first-come-first-served principle.

     

     

    Press/Media Registration

     

     

    The Congress press facilities are open to representatives of print, broadcast and Internet general interest media, as well as to public information officers from universities, government agencies and nonprofit research organizations. To register as a member of the press, journalists must present media identification or a business card issued by a recognized news organization or publication. Freelance journalists must present a letter of assignment on letterhead from a recognized news organization or publication, and a business card. Journalists working for publishing companies must have appropriate press credentials (i.e., proof of an editorial assignment) to register. Journalists reporting for online media outlets (including blogs, twitter accounts, etc.) who wish to register as members of the press must work for news-reporting organizations or private blogs that meet the following criteria:

    ● The website must provide original, editorial news coverage

    ● Editorial content must be independent of advertising and sponsorship

    ● Advertising on the website must be clearly identifiable as such

    ● Any sponsors of the website should be clearly identified as such and should be multiple in number (i.e., no single-sponsored websites)

    ● Any personal blog or twitter account pass is subject to review by the IBC 2017 Office of Communications

    Public information officers from universities, government agencies and nonprofit research organizations must present a business card to obtain a badge. Valid credentials are required of every journalist in order to complete registration. You will be sent the online registration link if you qualify as Press/Media.

    Sponsor Passes

     

     

    As a benefit for supporting the congress, all sponsors receive an allocated number of registration waivers, based on the level of sponsorship. Confirmed sponsors will be contacted by IBC 2017 with instructions for submitting their waiver lists. All lists must be received by June 20, 2017. Registration waivers that are not submitted by that date will be forfeited.

     

     

    Exhibitor Registration

     

     

    The purchase of an exhibition booth includes two complimentary Exhibitor Access Badges, which will allow full access to the conference and exhibition. Please access the Exhibit Space Management page of your IBC 2017 user account to assign these two badges before June 20, 2017. Exhibitor Access Badges that are not assigned by that date may be forfeited. Please note: If you have been assigned an Exhibitor Access Badge, you do not need to purchase an additional registration.

    Attendee Terms & Conditions

     

     

    Any person, delegate, accompanying person, student, media representative, speaker, or exhibitor who is present at the XIX International Botanical Congress (IBC 2017) automatically agrees to the terms and conditions set forth below (the 'Terms and Conditions'). These Terms and Conditions apply to each person (the 'Attendee') regardless of whether they have received a formal registration. IBC 2017 reserves the right to render, in its sole and absolute discretion, all interpretations and decisions in connection with the Terms and Conditions and to establish further regulations binding upon the Attendee as may be deemed necessary to the general success and wellbeing of the IBC 2017 and/or any person(s) affiliated therewith. IBC 2017's decisions and interpretations shall be final in all cases.

    Refund Policy for IBC 2017 Registrations. A registration may be transferred to another individual, provided that this individual is not already registered, the registration is used for the same congress, and the individual qualifies for the type of registration being transferred. For example, a student registration can only be transferred to another student. For more information about registration transfers, please contact registration@ibc2017.cn.

    Rules, Regulations, & Attendee Conduct. Attendee agrees to abide by all fire, safety, and health regulations of the local, city, state, IBC 2017 hotels, and convention centers where the IBC 2017 is held. Attendees must comply with all applicable state and local ordinances, as well as IBC 2017 policies and procedures as set forth below. Participants who violate such rules and/or who behave in an unsafe or careless manner while attending the IBC 2017 may be asked to leave immediately and will be held responsible for their actions. The Attendee acknowledges that such violations may result in the Attendee being removed from the IBC 2017 and barred from returning without refund of the Attendee's registration fee. The Attendee likewise acknowledges and agrees that all attendees of the IBC 2017 have the right to enjoy the IBC 2017 equally. Illegal or disruptive behavior that interferes with the conduct of reasonable business at the IBC 2017, or any other attendee's safety or comfort, including behavior that impedes or prevents accessibility services or requests, behavior that discriminates based on age, disability, race, ethnicity, gender, religion, political or institutional affiliation, or sexual orientation, and harassment of any kind, is strictly prohibited and may result in the Attendee being removed from IBC 2017 and barred from returning without refund of the Attendee's registration fee. Such violations may be reported to legal authorities.

    Indemnity. To the extent permitted by law, the Attendee agrees to protect, indemnify, defend, and hold harmless IBC 2017, the IBC 2017 hotel(s) and convention centers where the IBC 2017 is being held, and their respective employees, officers, directors, and agents against all claims, losses, or damages to persons or property, governmental charges or fines, and costs (including reasonable attorney's fees) arising out of or connected to the actions or failure to act in accordance with the Terms and Conditions by the Attendee, its employees, officers, directors, or agents, except those claims arising out of the other party's gross negligence or willful misconduct.

    Accessibility Services. IBC 2017 is committed to making all reasonable arrangements that will allow members of the association to participate in IBC 2017 events. All meeting rooms at the IBC 2017 are wheelchair accessible and have seats in the first row marked as reserved for individuals with accessibility needs. Attendees who require onsite assistance during the IBC 2017 should request it from personnel at IBC 2017's 'Accessibility Services' desk in the registration area.     Alcohol & Drugs. IBC 2017 supports and enforces all laws of the state and municipality where the IBC 2017 is held in all matters concerning alcohol and other controlled substances. It is considered unlawful to furnish or give any liquor, malt, or brewed beverages to minors, visibly intoxicated persons, habitual drunkards, or those prone to intemperate habits. It is also illegal for minors to purchase or possess alcohol and to be visibly intoxicated. All medically unsupervised possession of controlled substances is prohibited. The manufacture, delivery, sale, and possession of an illegal substance could result in legal action.

    Smoking. Smoking is not permitted in the meeting rooms. Smoking is permitted in designated areas only.

    Lost Registration Badge. The Attendee's registration badge must be worn at all times during the IBC 2017. Access to the IBC 2017 facilities will not be granted to those without proper credentials. If an Attendee loses, misplaces, or forgets his or her name badge, a replacement fee of ¥40.00 will be charged for the creation of a new registration badge. Once the new registration badge is released to the Attendee, the lost badge will become invalid.

    Modification of the IBC 2017 Program. IBC 2017 reserves the right to modify the program, which is published as an indication only.

    Registration, Hotel, & Travel Accommodations. Registration includes admission to IBC 2017's lectures, symposia, poster display, exhibition, and welcome reception for the duration of the IBC 2017 period. Meals, lodging, and travel are not included. Hotel accommodations are subject to availability and will be allocated on a first-come, first-served basis.

    Salvatory Clause. If there is a determination that any part of the Terms and Conditions is ineffective or impracticable, then the validity of the Terms and Conditions remaining is not impaired.

    Photography & Filming. Professional photographs, audio, and video will be captured during IBC 2017. Attendees hereby grant IBC 2017 and its representatives permission to photograph and/or record them at the IBC 2017, and distribute (both now and in the future) the Attendee's image or voice in photographs, videotapes, electronic reproductions, and audiotapes of such events and activities. 

    Photography or Recording Usage by Attendees. IBC 2017 appreciates all coverage of the IBC 2017. Photography, audio recordings, and video recordings are not permitted without the prior written consent of IBC 2017. All requests for press passes must be made in advance of the IBC 2017 to news@ibc2017.cn. Passes may be available at the IBC 2017 Help Desk based on need and availability. Press credentials are required for the issuance of a press pass, and IBC 2017 requires that a copy of all published material be submitted to news@ibc2017.cn.

    Force Majeure. Attendance at the IBC 2017 is subject to government authority, disaster, or other emergencies, any of which make it illegal or impossible for IBC 2017, the IBC 2017 hotel(s), or convention centers to provide the facilities and/or services for the IBC 2017, or make it illegal or impossible for the Attendee to utilize the hotels or convention centers for the IBC 2017. A registration may be cancelled for any one or more of such reasons by written notice from IBC 2017 to the Attendee without liability on the part of IBC 2017.

    Cancellation. In the event that the IBC 2017 cannot be held or is postponed due to events beyond the control of IBC 2017, IBC 2017 shall not be liable to the Attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses. Under such circumstances, an Attendee may choose to have the registration fee refunded in full.

    Refund Policy for IBC 2017 Exhibition Space. IBC 2017 exhibition space is nonrefundable. This includes booth and table exhibits. Please see the IBC 2017 Exhibitor Agreement for complete details about exhibition-specific refunds and cancellations, or contact exhibition@ibc2017.cn.
